- Set the time in the client’s context. Pick the date, start time, duration, and timezone. If you and the client are in different regions, choose one timezone and state it clearly in the invite so nobody converts it twice.
- Name the meeting and the host. Use the client’s project or topic in the title (“Discovery call — Northshore interiors”) rather than a generic “Meeting”.
- Add location or a video link. A street address, a Zoom/Meet URL, or “We will send the link 15 minutes before” — missing location is the most common reason a calendar event is ignored.
- Copy the invite or download the .ics file. Paste the text into email, or attach the .ics so the recipient can add it to Google Calendar, Outlook, or Apple Calendar in one click.
When a one-off invite is enough — and when it is not
A generated invite is the right tool when you have already agreed a time. It is the wrong tool when you are still finding a slot: that is when back-and-forth email starts, and when double-booking becomes likely if your Google or Outlook calendar is not in the picture.
